THE STEADY

Built around a
mortgage broker’s brain.

EXECUTIVE SUPPORT · BUSINESS SYSTEMS · AI

An ongoing relationship connecting the everyday work, industry tools, business knowledge and digital presence around one mortgage broker.

THE HUMAN ENTRY POINT

The work, prepared.
The judgment, hers.

Useful support starts with the work in front of us: understanding what changed, preparing what can be prepared and making the next decision clear.

WHAT HAPPENED IN THE WORKING DAY

A mailbox review, made manageable.

In one mailbox review, roughly 65 threads across four inboxes were reviewed. Five items needed the broker’s attention.

A deadline surfaced in time.

A lender rate increase due at midnight was flagged, giving the broker a window to submit before the change.

Prepared up to the judgment call.

Confirmed compensation figures were used to prepare disclosure wording. The field requiring the broker’s judgment was left for her.

THE COMPLETE BUILD

One business.
A connected system.

The everyday work showed what needed to connect. The broker’s knowledge, priorities and standards inform the information, workflows, documents, identity and communication built around her.

01The business foundation

A digital-presence audit and phased action plan. A shared command centre brings the deal pipeline, relationship records, content engine and business knowledge into view.

AUDIT & OPERATING WORKSPACE
02Identity and communication

Brand specification, wordmark and key-mark system, typography, palette and usage guidance. Social/profile applications, newsletter presentation, referral material and a client document pack carry that identity into the work.

IDENTITY & COMMUNICATION SPECIMENS
03Deals, tasks and accountability

A custom 17-stage deal pipeline, task ownership, stage requirements, SOP checks, follow-ups and file references. Velocity/Newton remains the mortgage transaction system of record.

BUILT / ONGOING REFINEMENT
04Knowledge and scenario work

Lender knowledge, guidelines and programs; a rates database and rate-email extraction workflow; conversational scenario-building logic with visual output; a business knowledge library.

LENDER KNOWLEDGE & SCENARIO WORK
05Context and professional checks

A broker speaks with clients, lenders and other professionals all day. Conversation intake turns a supplied recording or transcript into notes and next actions without rebuilding the context each time. Custom instructions distinguish who was speaking, what the conversation was about and what needs to happen next. The custom agent connects that context with email monitoring and regulatory, compliance and audit/review skills.

CONVERSATION INTAKE & CONTEXT
06Intake and client understanding

A supplementary client-intake questionnaire, welcome, conditional-approval and documents-received email templates, plus a four-stage purchase-client roadmap in HTML and PDF.

CREATED / CLIENT COMMUNICATION
07Documents and signing

Disclosure preparation connects deal information, document templates and a ready-to-send handoff. Signing remains manual while industry-tool options are assessed.

DISCLOSURE PREPARATION & SIGNING HANDOFF
08Content and relationships

Channel and referral strategy, a Notion content calendar, Canva bulk-create workflow, newsletter and social specimens. A template-rendering image workflow was selected for recurring content.

CONTENT STRATEGY & PRODUCTION SYSTEM
09Onboarding and stewardship

Learning the owner’s standards, preferred outputs, checks and exceptions, then refining the connected work through an ongoing relationship.

ONGOING ENGAGEMENT

A place to
come back to.

A call comes in. A client needs something. The day changes shape.

The aim of the ongoing work is to make returning easier: the relevant information together, the current position clear, and the next step easy to find.

THE STRUCTURE UNDERNEATH

A simple question.
A lot of connected information.

Quality here depends on structured information: a file reference joins a deal to its tasks, documents and conversations. The system can find the right context; the broker can see what needs her.

VELOCITY / NEWTON

Mortgage transaction record, joined by file reference

Illustrative record structure drawn from the engagement’s documented scope. This map describes the architecture; individual connections may be at different stages of implementation.

OPERATING DISCIPLINE

What changed.
Who moves next.

The operating design makes the next action explicit: who owns it, what it is waiting on and when to check again.

The documented design brings four routines together: reconcile new evidence, prepare work, monitor what is waiting and maintain the shared record.

THE HUMAN HANDOFF

Prepare before asking.

The intended handoff distinguishes work ready for review from decisions that need the broker’s professional judgment. New evidence can reopen an item rather than leaving an outdated “complete” status in place.

The business stays connected to its existing industry tools. Those tools remain authoritative for the information and documents they originate.

DIGITAL PRESENCE & CLIENT COMMUNICATION

The same business.
Every encounter.

A clear identity has to work beyond the logo. The voice, typography and design rules carry into content, client communication and the documents people actually use.

The purchase-client roadmap turns the process into paired responsibilities: what the team handles and what the client needs to do. It is one practical expression of the wider brand system.
